Senior Administrative Assistant, P560 (TS/SCI Clearance)

Come help us by providing administrative support to division senior staff, lead a department admin team, and coordinate support to P560 departments. Candidate must be proactive, capable of multi-tasking and able to work well with limited direction in both an independent and team environment, have excellent communication and organizational skills, be detail-oriented, and responsive.

Key Functions:

Perform a broad range of administrative functions to include:

-Coordinate and arrange meetings involving senior MITRE and government leaders

-Attend and coordinate weekly division staff meetings. Record and complete actions, as appropriate

-Serve as liaison to the Corporate executive administrative team, providing them input and support as required

-Track items and suspense dates for Corporate and Division matters.

-Anticipate, analyze, and proactively react to changes in priorities and tasks; collaboratively work with other admins, and demonstrate initiative and follow-through on a broad range of administrative actions

-Track meeting expense and office supply budgets

-Implement at the Division level administrative guidelines set forth by the Center

-Facilitate the smooth flow of corporate and work-program specific processes

-Arrange logistics support to a wide range of meetings, to include reserving facilities, arranging travel of attendees, overseeing catering, coordinating with security, and providing administrative support as needed to participants

-Complete administrative tasks in support of the Division leadership team. These duties include, but are not limited to: arranging and organizing meetings, teleconferences/VTC’s; coordinating meeting catering; drafting routine correspondence including HR forms; maintaining department records, organization charts, and miscellaneous files; arranging travel reservations; preparing employee expense vouchers (EEVs) and local travel vouchers (LTVs); answering telephones; distributing mail; arranging for office moves; processing time sheets; coordinate property audits; order office supplies; preparing documents to specified standards; distributing documents

-Maintain calendars for Division managers and senior technical staff via Outlook. Anticipate, analyze, coordinate, anticipate, proactively act upon changes in priorities and tasks within the Division

- Provide direct support to the Director and Division and Portfolio senior staff on strategic initiatives of the organization and portfolio

- Mentor/guide/direct the work of department administrative support team


Required Qualifications:

-High school diploma or equivalent, plus 5 years of experience or the equivalent in job-relevant work experience

- Ability to interact professionally with senior MITRE leaders and senior government officials, exhibiting decorum and discretion at all times

-Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Lync)/Microsoft SharePoint

-Detail oriented

-Excellent grammar, spelling, punctuation, editing, organizational and communications skills

-Interact effectively with senior government/military officials, and MITRE personnel in a cooperative and professional manner along with performing as a team-player

-Exceptional communications and interpersonal skills will be required to interact

-TS/SCI is required; Polygraph is preferred.
