We are seeking an Administrative Assistant to support the Directors within the Center for Enterprise Modernization, Veteran's Affairs (CVET) as well as act as back-up for the VP within MITRE Public Sector.The individual will be expected toeffectively and efficiently carry out the operational and administrative tasks necessary for the smooth functioning of the office while maintaining the highest level of personal and professional standards and conduct. This position is located inMcLean, VA.

Key Functions

In this dynamic, fast-moving role, your key responsibilities as a partner to the Directorswill include:

  • Performing a variety of administrative tasks in support of the Directors, including preparation of documentation (letters, briefings), answering telephone calls, scheduling and prioritizing meetings, sorting and screening mail, etc.

  • Managing thedaily schedule and calendar which requires the ability to prioritizerequirements and effectively manage complex demands. Provide binder of materials which include schedules, meeting read-aheads and supporting materials such as biographies, action items and travel documentation.

  • Arranging for all travel in support of the Directors. Prepare itineraries, arrange conferences and required support services.

  • Learn the Corporate and Director'sgoals to prioritize work effectively and efficiently as a strategic partner who can anticipaterequirements.

  • Managing and filing most ofcorrespondence.

  • Monitoring pending projects, coordination of inputs for action items, and compilation of inputs into precise and accurate final documents.

  • Providing administrative support for meetings, including scheduling, audio-visual connections, note taking, information packets, supplies, refreshments, etc.

  • Review email to identify outstanding actions and understand work history.

  • Planning, coordinating and supporting a variety of meetings and presentations including arranging for venue, catering, duplication of materials, audio-visual needs, etc. Assess and improve processes as needed.

  • Performing research for project reports as necessary.

  • Maintaining state-of-the-art knowledge of MITRE’s administrative support systems, policies and processes.

  • Maintaining security of highly sensitive and confidential information.

  • Ensuring the Director's administrative tasks and expectations are known and met in a timely manner, especially when preparing and planning for absences. Requires working outside of normal business hours, when necessary.

  • Representing the Directors and organization in a professional manner at all times, especially with guests and when working with others.

  • Working in a collaborative team atmosphere, where vacations are coordinated and coverage secured as necessary, and that telephone coverage is provided throughout the office at all times. Includes closely working with the Administrative and Executive Assistants teams both in McLean, VA, and Bedford, MA.


Required Qualifications

  • Requires high level of poise, initiative, tact, professionalism, and diplomacy in working closely, often under time pressure, with highly-sensitive information, with a diverse group of executives, members of the Board of Trustees, government officials, high-ranking military officers, customers, managers and support personnel.

  • Exceptional Microsoft Office Suite skills.

  • Strong interpersonal, written and verbal communication skills and the ability to operate and team with MITRE management, staff and clients is a must.

  • Must effectively apply strong self-organization and time management skills, with considerable emphasis on self-initiation, independent decision making, accuracy and follow through on a broad range of administrative support tasks.

  • Must have demonstrated competence in the latest mobile (including iPhone), desktop, and VTC technologies.

  • Ability to anticipate and address the support needs, short- and long-term, ofthe Directors

  • Bachelors degree strongly preferred.
